Recreation Commission Minutes – October 2023

MINUTES
SENIOR & YOUTH RECREATION COMMISSION MEETING
October 18, 2023

Present: Pam Stocking —Vice Chair, Jessica Knapp, Manuela Michailescu, Recreation Dept. Director Ashley Sweeney.
Absent: Marjorie Bogert, Sandy Chipman, Cynthia Lampman, Deborah Martin.

The meeting started at 9:35 am.
Vice-Chair Pam Stocking presented the Agenda of the meeting and called the meeting to order after establishing that we do NOT have a quorum (only 3 out of 7 members present).

The minutes of the September 20, 2023 meeting were reviewed and clarified; to be approved when we have a quorum.

Ashley Sweeney presented the DIRECTOR’S REPORT; among the highlights:
• Heritage Day — on October 7th, was very well organized and successful, well attended, but had some activities shortened or eliminated because of the torrential rain.
Thank you to all the volunteers! Thank you Deborah Martin for organizing the Art Show. Thank you Pam Stocking and Rita Harkins for helping with Recreation Department’s pie tent. Thank you Manuela for taking pictures of the day, thank you Cindy Lampman for doing the art project with the kids in the After School Program for the Art Show.

• After School Program — is underway and going very well. The staff this year has been great so far; they are very enthusiastic about their jobs. Happy that there are more kids registered than last year.

• Basketball registration — is ongoing at the Community Center.

NEW BUSINESS — UPCOMING EVENTS (from the Director’s Report)

• Youth Halloween Party — this coming Friday, on October 20th, 5—7 pm. If anyone wants to come and help it would be appreciated. Jessica (who brought new lights) will be DJ-ing. Please come at 4:30 pm to set up. I would like music ready and playing when people arrive. Today we will fill goody bags.

• Pumpkin Painting Class — to be done by Ashley on Tuesday, October 24th, 5:30 pm to 7:30 pm. The class filled up very quickly (about 22 registered); assistance with the class is needed.

• Thanksgiving Luncheon — on November 17th, 11:30 am — 1:30 pm. If you want to help, please arrive by 9 am.

• Wreath Making Class — to be held again this year after Thanksgiving. More details at our November meeting.

OPEN ISSUES / DISCUSSIONS — was the last point on the agenda:

• Veterans Day — on November 11th, at 11 am; Ashley indicated that Town Clerk/Town Historian Kate Gundberg is in charge (as the Veterans Honor Roll is going to be unveilled) and that we should contact her for possible participation to the ceremony.

Then hands-on help was provided in order to have the (over 100) Halloween goody-bags ready for Friday’s Halloween party.

The meeting adjourned at 10:40 am.
Jessica Knapp made a motion to adjourn, which was seconded by Pam Stocking and approved unanimously.

Next meeting takes place on November 15th, 2023, 9:30 am, at the Community Center.
